🇦🇹 What information do I need to submit a KITA receipt?

Through your employer's become.1 KITA module, you can receive a subsidy for your childcare expenses. In this article, you will learn about the requirements for tax-free reimbursement in Austria, which details must appear on your invoice, and how to correct documents if a submission is rejected.

To learn how to upload receipts in general, please refer to this article here

What expenses can be reimbursed?

Childcare expenses qualify for tax-free reimbursement in Austria under the following conditions:

  • Age limit: The child must be under 14 years of age at the start of the calendar year.
  • Tax credit eligibility: You must be entitled to the child tax credit (Kinderabsetzbetrag) for more than six months during the calendar year. The child tax credit only applies if the child permanently resides in Austria.
  • Maximum allowance: A tax-free subsidy of up to €2,000 per eligible child can be granted per calendar year.
  • Covered costs: Only direct childcare costs themselves are reimbursable (including meals and crafting supplies, without deducting household savings). Tuition fees, placement fees, or transportation costs are not eligible.
Checklist: Required invoice details

The childcare facility or the pedagogically qualified caregiver must issue an invoice or proof of payment. To prevent your submission from being rejected, all of the following details must be clearly visible directly on the document:

  • Invoice details: Date of issue, sequential invoice number, and the exact period of childcare.
  • Cost breakdown: Clear description of the service and the total amount for childcare (including VAT, if applicable).
  • Recipient: Full name and address of the invoice recipient (employee).
  • Child's details: Full name, date of birth, place of residence, and the child's social security number (or EHIC identification number).
  • Public facilities: Name and address of the institution.
  • Private facilities: Name, address, and an explicit reference to the official operating permit of the institution.
  • Pedagogically qualified individuals: Name, address, and social security number (or EHIC identification number) of the caregiver.

IMPORTANT (Private Caregivers): If you use a pedagogically qualified private caregiver (e.g., an au-pair with at least 35 hours of relevant training), you must attach a copy of their qualification proof (e.g., course certificate or diploma) as an additional page inside the PDF of your receipt.

What to do if your document was rejected?

If your submitted document is missing any of the information listed above, your receipt will be rejected. However, you do not need to wait until the following month to claim your subsidy.

TIP: You can re-upload the corrected document within the exact same month. You always have until the 3rd day of the following month to submit missing or revised proofs in the app.
