Urban Sports Club for Employees: What do I need to consider as an admin

In this article, you as an administrator will learn how to make the Urban Sports Club (USC) Goodie available to your employees in the portal, how to manage the employee co-payment via the budget, and which deadlines are crucial for a smooth process.

1. Making the Goodie Available

For your employees to have the opportunity to register with Urban Sports Club in the first place, you must activate the corresponding Goodie for them in the portal. Once this is done, employees can select Urban Sports Club in their own Goodies section and start the registration process independently.

2. Managing the Budget and Employee Co-payment

As an admin, you have direct control over whether your employees incur additional costs based on the amount of budget you assign:

  • Cost of the package: The USC M Package provided to employees standardly costs €49.90 per month.
  • Full coverage: If you set the employee's monthly budget to exactly €49.90 (or higher), the membership is completely free of charge for them.
  • Co-payment: If the budget you assign is below €49.90 (e.g., €30.00), a co-payment arises for the employee (in this case, €19.90).

IMPORTANT REGARDING BILLING: If a co-payment applies, this remaining amount will be debited by Urban Sports Club directly from the employee's private bank account. Therefore, employees must provide their bank details during registration for every tier—even if the co-payment is €0.00.

3. Important Deadlines and Requirements for Employees

To minimize support requests in your department, you should inform your employees about two essential system rules:

  • The Registration Window: Employees must complete their registration between the 1st and the 15th of the current month. Registrations after the 15th of the month will be automatically rejected by the system.
  • The Email Address: The registration with Urban Sports Club must be done using the exact email address that is registered for the employee in our portal system. Otherwise, the membership cannot be correctly approved.
