How do I create a new benefit template?

As an administrator, you can define tailored modules and budgets for different employee groups (e.g., full-time vs. part-time).

Step 1: Define template details (License)

First, you define the basic details as well as the available licenses for your new template.

  1. Switch to the admin view in the bottom left corner of the app via Switch Role.
  2. Click on Benefit Templates in the left navigation bar.
  3. Click the Create Template button in the top right corner.
  4. Select the respective country under Region (e.g., Germany). Note: If you only have access to one region, it will be pre-selected automatically.
  5. Choose a title (name of the template) and optionally add a description.
  6. Select the appropriate Salary Extra License and/or Salary Conversion License – depending on which services are contractually activated for your company.
  7. Click Next.

Step 2: Set modules and budget for the Salary Extra

In the second step, you configure the modules granted to your employees as a tax-optimized salary extra.

  • Select modules: In the section of the same name, determine which benefit modules your employees should have access to (e.g., Non-Cash Benefit, Meals, Mobility, etc.).
  • Adjust limits: By clicking the pencil icon within the modules, you can individually limit the maximum spending per module. Note: If you do not make any changes here, the statutory tax limits will apply automatically (e.g., non-cash benefit max. €50.00 or meals max. €7.67/day).
  • Birthday budget (optional): If required, set a tax-free voucher worth up to €60.00 for your employees' birthdays.
  • Set budget: Enter the Monthly Benefit Budget (total budget).
  • Define initial distribution: Determine how the budget should be split initially (e.g., which amount is used for non-cash vouchers and which for private expense reimbursements). Note: Once the budget is assigned, users can decide monthly how they want to split their total budget. If they do not make a selection, this initial distribution will apply automatically.
  • Save budget (optional): Activate the option "Save budget for private expense reimbursement" so that unused budget can be carried over to the following months. Important: This is possible for a maximum of one calendar year. The saved balance expires at the beginning of each new calendar year.
  • Click Next.

Step 3: Configure Salary Conversion

If you selected a salary conversion license in the first step, you can now fine-tune its settings.

  1. Select the specific license for the salary conversion (e.g., IT Leasing).
  2. Enter the maximum amount (e.g., €100.00/month) that may be converted monthly from the employees' gross salary.
  3. Click Next.

Step 4: Summary and saving

Review your settings one last time before finalizing the template.

  1. Under Review entries, you will see a compact summary of all selected details, licenses, and budgets.
  2. If all information is correct, click Save Template.

Important to know: You can make changes to your template at any time. Depending on the type of change, you can flexibly decide whether it should take effect in the current month or become active in the following month.
